These Terms describe the rules for using the EasyConfer service, which is free.
The service requires no payment, order, subscription or separate agreement. You decide whether to start using it and whether to carry on. The Terms are published on this page and apply to the extent that they were made known to you and are permitted by law. If you do not agree with them, you can choose not to start using the service or stop using it.
What EasyConfer is
EasyConfer provides the technical tools to:
- create organizations and events;
- publish a programme and an event page;
- set up registration and issue QR tickets;
- run an organizer's team;
- read the programme and build a personal schedule;
- make introductions, exchange messages and agree on meetings;
- send messages and notifications about an event;
- see anonymised statistics.
EasyConfer is not the organizer of events, a ticket seller, a payment intermediary, a tour operator, a security, medical or insurance service. It does not take payment for tickets and does not handle an organizer's or an attendee's money.
Free of charge, limits and donations
EasyConfer is provided free of charge. There are no paid plans, subscriptions or features for sale. The basic limit is one active event and up to 50 attendees.
If other limits are needed, an organizer can send a request through the help form. Higher limits are granted free of charge at EasyConfer's decision, taking into account technical feasibility and the nature of the event. They are not for sale and are not a guaranteed right.
A voluntary crypto donation:
- is not payment for a service;
- does not create a subscription or an order;
- does not grant higher limits, priority support or any other advantage;
- does not influence a decision about limits;
- is not refunded by the service: a blockchain transfer goes directly and is usually irreversible;
- is made at your own risk, after checking the address, the currency and the network.
Age, authority and your account
An account may be created by a person aged 18 or over with the necessary legal capacity. Acting on behalf of an organization, you confirm that you are authorised to do so; if that authority ends, you must stop acting in its name and hand access to an authorised person.
You are obliged to:
- give a working email address and not impersonate anybody;
- keep your password, sign-in links, session and invitations safe;
- not hand your account to people you do not know;
- use team roles rather than a shared account;
- report a suspected compromise or access granted in error through the help form at once;
- keep up to date the details that sign-in and recovery depend on.
Actions taken after a successful sign-in count as the account's actions until EasyConfer receives and acts on a report of compromise. This does not remove rights that the law does not allow to be limited. The service may temporarily block a session or an account where there are signs of compromise, abuse, breach of law or danger to other people.
The organizer's obligations
The organizer is fully responsible for the event itself, including:
- the accuracy of the description, dates, times, programme and address;
- the right to use the names, images, logos and materials;
- relations with the venue, speakers, sponsors, contractors and attendees;
- permits, venue safety, admission control and local rules;
- moving, cancelling and actually running the event;
- deciding whether to admit an attendee;
- refunds and payments, if they take them outside EasyConfer;
- the contents of the registration form and the wording of consents;
- the lawful basis for processing attendees' data;
- their team's access and the timely removal of roles no longer needed;
- the contents and lawfulness of announcements;
- exporting critical data in good time before retention ends.
The organizer must tell attendees in advance who is running the event, how to reach them, what data they collect and why. EasyConfer does not become a party to the relationship between an organizer and an attendee merely by providing a page, a form or a ticket.
The organizer must not: upload bought, stolen or otherwise unlawfully obtained contact lists; collect excessive or sensitive data without a separate basis and protection; send spam; publish other people's personal data without the right to; promise guarantees, support or features on EasyConfer's behalf that the service has not provided; or use the EasyConfer brand as though the event were organised or endorsed by the service.
The attendee's obligations
An attendee is obliged to:
- give accurate details where registration requires them;
- follow the organizer's and the venue's rules;
- not pass on a ticket or QR code unless the organizer allows it;
- not harvest contacts from the catalogue automatically;
- use what they learn about other attendees only for the contact those people agreed to;
- not stalk, intimidate or send unwanted messages;
- not publish another person's correspondence or contact details without a lawful basis;
- respect a refusal of an introduction, a message or a meeting.
A QR ticket confirms that a record exists in EasyConfer; it does not guarantee physical admission. The final decision rests with the organizer or the venue's staff.
Your content
The rights to the material you upload or type in remain yours.
For as long as it is stored, you grant EasyConfer a limited, non-exclusive, royalty-free right to store, copy, back up, convert into the necessary format and display that content — solely to run the features of the service, protect the system and meet legal requirements.
You confirm that you hold the necessary rights to the content and that publishing it breaks no law and infringes no copyright, trade mark, privacy or third-party right.
EasyConfer may hide or remove content where there are sufficient grounds to consider it unlawful, dangerous, fraudulent or in breach of these Terms. The service is not obliged to review every publication in advance.
What is not allowed
- breaking the law or infringing third-party rights;
- circumventing limits on access, roles or request rates;
- probing for vulnerabilities without prior written permission;
- interfering with the server, the database, the queues, the mail or other people's accounts;
- uploading malicious code, including code disguised as an image;
- extracting data in bulk, scraping the attendee catalogue or building shadow databases;
- using the service for phishing, fraud, unlawful collections, trade in prohibited goods or organising dangerous activity;
- publishing threats, harassment, discriminatory material or unlawful content;
- creating a false impression of an official partnership with EasyConfer;
- reselling access to a free service or charging for higher limits as if they were an EasyConfer service.
EasyConfer sends mandatory email about the account, sign-in, tickets, security, programme changes, meetings, data deletion and support answers.
An organizer may send messages to the attendees of their event and is responsible for the content, the audience and the lawful basis. A recipient may opt out of optional email by the means provided.
Opting out of optional announcements does not stop email without which your own request cannot be carried out or your account cannot be kept secure.
Third-party services
EasyConfer uses and opens third-party services: sign-in with Google, map tiles, geocoding, outgoing mail and hosting.
A third-party service operates on its own terms. EasyConfer does not control its availability, its policies or its content and is not answerable for its actions — except where liability cannot be excluded by law, or where the harm was caused by EasyConfer's own breach.
Changes and availability
EasyConfer is being developed and may contain errors. Features may be added, changed, limited or removed. The service may carry out maintenance, change providers and restrict access temporarily for the sake of security or stability.
Access may be interrupted unexpectedly, including while an event is being prepared or held. EasyConfer does not undertake to be available on any particular date or at any particular time and does not promise to restore service within a set period.
EasyConfer does not promise:
- uninterrupted or error-free operation;
- any particular percentage of availability;
- that any feature will be kept forever;
- compatibility with every browser, device or external service;
- delivery of every email;
- recovery of data after your own mistake;
- that an organizer will achieve attendance, sales, introductions or any other result.
Where terms change materially, the service will try to give reasonable notice as far as that is practical. During an incident the priority is to limit the damage and restore service rather than to give notice first.
Data, export and backups
EasyConfer must not be used as the only place where information the event cannot run without is kept. Before an event starts, the organizer must save the available export of the programme and the attendee list, the venue address and their team's contacts, and prepare a way to show the programme and check tickets without access to EasyConfer.
Backups exist only to restore the service as a whole. They are not a personal archive. EasyConfer does not promise any particular backup frequency, recovery time, acceptable loss of recent changes, or the restoration of a single record deleted by mistake.
An event's private data is deleted or anonymised 90 days after it ends — take the export you need before that date. Closing an account is carried out after a 30-day cancellation period, in the way the Privacy Policy describes.
Suspension and termination
You may stop using the service and ask for your account to be closed at any time.
EasyConfer may restrict or end access where a user:
- breaches the Terms materially or repeatedly;
- creates a risk to security or to the working of the service;
- infringes other people's rights;
- uses the service unlawfully;
- fails to put a breach right after reasonable notice, where waiting is acceptable.
Where the threat is urgent, blocking may happen without prior notice. Where possible the service will allow time to export available data, unless that conflicts with security, the law or third-party rights.
EasyConfer may discontinue the free service altogether. Unless that is caused by a sudden failure, a threat or a legal requirement, the service will try to say so in advance and allow a reasonable period for export.
Liability
The organizer is responsible for the event. Decisions about holding, moving, cancelling, the content and the safety of an event are theirs. EasyConfer does not vet the venue, the speakers, the organizer, the attendees, tickets outside its own database, permits, insurance, or whether the event will match your expectations.
EasyConfer is not answerable for: cancellation, postponement, delay or failure of an event; an organizer's or a venue's refusal to admit an attendee; the acts and omissions of an organizer, their staff, contractors, sponsors, speakers or attendees; injury, illness, loss of property or other harm at an event; payment, refund, donation or any transaction outside EasyConfer's own features; promises and information published by an organizer; conflict between users; another user's use of contacts in breach of the rules; or a decision to rely on online access alone without your own copy of critical information. Claims about the event itself should be addressed to the organizer.
The service is provided free of charge, "as is" and "as available". To the fullest extent the law allows, EasyConfer does not warrant fitness for your particular purpose, continuity, freedom from errors or suitability for any particular event. This does not set aside mandatory warranties and rights that the law does not allow to be excluded.
To the fullest extent the law allows, EasyConfer is not liable for indirect, incidental, special or consequential loss, including lost profit, lost reputation and remote consequences of downtime or data loss. This limitation does not declare indirect those direct, documented losses caused by an established wrongful act of the service itself, and does not set aside mandatory remedies for unlawful processing of personal data.
Liability can arise only where a breach by the service is established, damage is proven and there is a direct causal link between them. The mere fact of temporary unavailability, an error or a third-party provider's failure does not prove such a breach.
Nothing in these Terms excludes liability for wilful breach, fraud, harm to life or health, unlawful processing of data, or any other liability that the law forbids limiting. A donation does not increase the extent of liability, because it is not payment for a service.
For your part, you are obliged to compensate documented direct losses of EasyConfer arising from your unlawful content, unlawful collection of data, sending spam, lacking the necessary rights or a material breach of these Terms — if and to the extent the law allows such an obligation. The service must reasonably limit its own losses and tell you about a claim, unless notice is forbidden by law.
Neither side is answerable for a delay directly caused by an extraordinary and unavoidable circumstance beyond its reasonable control, provided it takes reasonable steps to limit the consequences. A hosting failure, a cyber-attack, a contractor's default or a lack of funds do not automatically count as such circumstances: the cause, its foreseeability and whether it could have been prevented are all considered.
Law, disputes and the rest
The code, interface, design, name and materials of EasyConfer are protected by applicable law. These Terms transfer no rights to the brand or the source code. Ordinary use of the interface and links to the service are allowed; copying the brand so as to mislead people about the source or a partnership is not. Ideas and feedback may be used free of charge to improve the service, with no obligation to implement them or to pay for them.
A new version of the Terms is published with its effective date. Material changes do not apply retrospectively to actions already completed. If you do not agree with a new version, you may stop using the service and ask for your account to be closed.
The law of Ukraine applies to these Terms, without prejudice to your mandatory rights, which apply regardless of a choice of law. Before going to court, each side is invited to describe the dispute through the help form and allow a reasonable time for an answer; this does not limit the right to urgent judicial protection or to approach the Ukrainian Parliament Commissioner for Human Rights or another competent authority.
If a particular provision proves invalid, the rest continue to apply so far as permitted. Not exercising a right at once is not a waiver of it. EasyConfer may engage technical providers while remaining answerable for its own obligations to the extent the law establishes. The Privacy Policy is a separate document and applies together with these Terms.
